Groupe Prodem is committed to protecting the personal information entrusted to it, in accordance with Quebec's Act respecting the protection of personal information in the private sector (as amended by Law 25). This policy explains, in clear and simple terms, what information we collect through this website, why, how we protect it and what your rights are.

Our Privacy Officer ensures compliance with this policy and handles all requests and complaints.

We only collect the information needed to respond to you:

• Contact form: name, email, phone, type of service, project description. This information is sent to us by email.
• Technical data: like every website, our hosting provider automatically records server logs (IP address, browser type, pages visited, date and time). They are used only for security and to keep the site running properly, and are kept for two years.

We do not use analytics, advertising or tracking tools, and we do not create any profile of our visitors.

Your information is used only to:

• respond to your request and prepare a quote if needed;
• follow up on our business relationship with you.

We never sell, rent or trade your personal information, and we do not use it for marketing without your consent. By sending the contact form, you consent to this use; you may withdraw your consent at any time by writing to us.

This site does not use advertising or tracking cookies. A single functional cookie named “lang” is stored only if you choose a language (FR/EN), so the site is shown in that language on your next visit; it expires after one year. The site otherwise follows your browser's language.

We share your information only with the service providers we need to operate, and only for that purpose:

• Web hosting: our site is hosted by a hosting provider whose servers may be located outside Quebec.
• Microsoft 365: our email service, where messages sent through the form are received and stored.

Some of these providers may store information outside Quebec. Before any such communication, we assess whether the information will receive adequate protection, as required by law, and our providers are bound to protect it.

Requests sent through the contact form are kept for two years from the date they are received, then securely deleted. Server logs are kept for two years, then deleted. If your request leads to a business relationship (for example, a quote or a contract), the related information is kept as long as our legal and accounting obligations require.

We take reasonable security measures to protect your information: encrypted connection (HTTPS) on the whole site, access limited to authorized staff, and secure service providers. In the event of a confidentiality incident presenting a risk of serious injury, we will notify the Commission d'accès à l'information and the persons concerned, and we keep a register of incidents.

You may at any time:

• request access to the personal information we hold about you;
• ask us to correct information that is inaccurate, incomplete or ambiguous;
• withdraw your consent to the use of your information;
• ask us to stop disseminating your information or to de-index it;
• obtain your information in a structured, commonly used technological format (portability).

To exercise these rights, write to our Privacy Officer at info@groupeprodem.com. We will respond within 30 days. If you are not satisfied with our response, you may file a complaint with the Commission d'accès à l'information du Québec (www.cai.gouv.qc.ca).

We may update this policy to reflect changes in our practices or in the law. The date of the latest version is shown at the top of this page.
